School Spirit Wear in Canada — Hoodies, Tees & Grad Apparel for K-12, Universities & Athletics
How Canadian schools, student councils, athletic departments, and parent committees order spirit wear that actually shows up before the pep rally. Real MOQs from 12 pieces, online ordering portals, school-colour matching, grad apparel timelines, and embroidered alumni gear — built on 25 years printing for Calgary schools and shipping nationwide.
Spirit wear orders are different from every other apparel order on our shop floor. The deadlines are non-negotiable (pep rally is Friday — it isn't moving), the decision-makers are volunteers (council reps, parent committee chairs, athletic directors), and the budgets are real but tight. Get one of those three wrong and the order doesn't happen.
We've been printing and embroidering school apparel for Calgary K-12, post-secondary, and athletic clubs since 2001 — currently rated 4.9 out of 5 across 232 Google reviews. This guide covers what councils, ADs, and grad chairs need to know before sending a quote: minimum orders, school-colour matching, decoration methods that survive a season, real grad-hoodie timelines, and how to run a school-store ordering portal without drowning in size-chart emails.
What schools and student groups typically order from us
Spirit-wear orders cluster around a few recurring use-cases. Here are the ones we see weekly:
- Athletic team uniforms and warm-ups — soccer kits, basketball reversibles, volleyball tops, hockey practice jerseys, track-and-field shells.
- PE department crew shirts — bulk Gildan tees or hoodies in the school colour, single-colour print, for every grade.
- Student council and society hoodies — usually 50–200 pieces with embroidered or printed council branding and grade year.
- Grad-class hoodies and crewnecks — the big one. Usually 80–250 pieces with the graduating year, school crest, and a roster of names on the back.
- Spirit-day giveaway tees — high-school homecoming, university orientation week, elementary track-and-field day.
- Faculty and staff polos — embroidered school crest on the left chest, sometimes individual names added.
- Alumni reunion apparel — usually a one-off print run with the original school crest and a graduating year.
- Parent-volunteer crew shirts — coloured tees identifying parent helpers at school events.
Real minimum order quantities for schools
| Order type | MOQ | What works at this volume |
|---|---|---|
| Custom decoration | 12 pieces | Embroidery or DTF print, mixed sizes welcome |
| Online school-store portal | No MOQ per parent | We collect orders for 1–2 weeks, then produce in one batch |
| Grad hoodie roster (names on back) | 12 pieces | Each name gets its own digital file, one batch press |
| Athletic team uniforms with numbers | 12 pieces | Number kits done in same press cycle as front crest |
| Embroidered staff polos | 12 pieces | Names optional per polo at no extra setup cost |
Twelve pieces is the practical floor for decorated apparel because the digitizing/film setup cost amortizes across enough pieces to keep the per-piece price reasonable. Under 12 pieces, the math turns against the buyer. Over 24 / 48 / 72 the volume discount tiers kick in.
How to match school colours exactly
Three failure modes show up when schools order from a new shop:
- "Royal blue" isn't a colour. It's a colour family. Royal blue at one mill is two shades darker than royal blue at another. We pull blank samples and match against the school's official Pantone (or a swatch from an existing crested garment) before we order in the production batch.
- The crest looks fine on screen and wrong on fabric. Thread colour and DTF ink each have their own gamut. A digital mockup approximation is just that — an approximation. For first-time orders we recommend a small sew-out (embroidery) or strike-off (DTF) so the school's branding committee sees the exact decoration on the exact garment before the full run prints.
- Year-over-year drift. A school crest printed in 2023 doesn't have to match the same crest printed in 2026 — but it should. We save your locked thread colours and DTF ink codes on file so every reorder hits the same red, the same gold, the same hex.
Decoration methods for school apparel
Embroidery — best for hoodies, jackets, polos, and caps
For anything a student or staff member will keep for years (grad hoodies, alumni quarter-zips, faculty polos, athletic outerwear), embroidery wins. The stitch survives years of laundry and outlasts the garment.
- Best for: grad hoodies, athletic team warm-ups, faculty polos, alumni gear, embroidered ball caps.
- Limit: very small lettering (< 4 mm) drops resolution. A school crest with a tagline below should usually have the tagline screen-printed or DTF'd next to the embroidered crest.
DTF transfer — best for spirit-day tees, full-back roster prints
DTF (direct-to-film) is the modern standard for full-colour prints on cotton, blends, and poly. It handles:
- Photographic-quality school crests with gradients and shading.
- Full-colour mascot illustrations.
- Number-on-back kits for athletic teams (each number in your school colour, applied in the same press cycle).
- Grad-roster prints — every name on the back of every hoodie, perfectly aligned, no thread limit per name.
We apply DTF with a two-press cure (first bond, peel, second cure) so the print survives a full school year of washes. One-press DTF is the shortcut other shops use; the print lifts after 8–10 wash cycles.
Screen print — best for very large spirit runs
Screen print becomes cost-effective at 50+ pieces of the same design and colour. For schools that means: homecoming giveaway runs of 200+ identical tees, university orientation packs, or athletic-department supplier runs.
For day-to-day spirit-wear orders (athletic teams, councils, grad classes), screen print's setup cost doesn't pencil out, so DTF wins on price and turnaround.
Real lead times for spirit-wear orders
| Order type | Timeline |
|---|---|
| Free mockup + digitizing (first order) | 1 business day after artwork is received |
| Standard production (embroidery) | 5–10 business days after mockup approval |
| Standard production (DTF) | 5–7 business days after mockup approval |
| Online school-store portal | 2–4 weeks total (1–2 weeks for order collection + 1–2 weeks production) |
| Grad-roster print (names on back) | 7–14 business days after final roster locked |
| Rush production for re-orders | 48–72 hours when artwork is already on file |
A common grad-hoodie timeline that works:
- 8 weeks before grad: decide the hoodie style and colour, approve a mockup.
- 6 weeks before grad: lock the final roster of names (this is the deadline that always slips — chase it hard).
- 4 weeks before grad: production runs.
- 3 weeks before grad: hoodies ready for distribution at the grad assembly.
Build in buffer for the roster — every school year has a few last-minute name changes and the print can't start until the list is final.
Pricing — what spirit wear actually costs
Every blank apparel item on our products page shows the per-piece blank price up front. Decoration is quoted from your mockup. Here's the realistic per-piece cost range for the most common spirit-wear items at MOQ of 12 pieces, with volume tiers stepping in at 24, 48, and 72+:
| Item | Blank | Embroidered crest (left chest) | Full-front or back DTF |
|---|---|---|---|
| Cotton spirit-day tee (Gildan 5000) | $8–$11 | n/a | $14–$22 |
| Soft-style tee (BELLA + CANVAS 3001) | $9–$14 | n/a | $16–$24 |
| Heavyweight grad hoodie (Gildan 18500) | $24–$32 | $34–$42 | $40–$54 |
| Grad crewneck (Gildan 18000) | $22–$30 | $32–$40 | $38–$50 |
| Athletic warm-up jacket (ATC pro fleece) | $42–$68 | $52–$78 | $64–$90 |
| Embroidered faculty polo (Coal Harbour S365) | $26–$38 | $36–$48 | n/a |
| Embroidered ball cap | $14–$22 | $22–$32 | n/a |
The volume discount on decoration steps as follows: 0% at 12–23 pieces, ~15% at 24–35, ~20% at 36–47, ~30% at 48+. For very large school-store runs (200+) we'll quote a custom production rate.
How online school-store portals work
For PTA fundraisers, district-wide spirit wear, or athletic-club apparel sold to families, we set up a temporary online ordering portal for your school. Here's how it works:
- You choose the catalogue — 4–8 product options (hoodie, tee, polo, cap, etc.) in school colours with your crest pre-decorated on each mockup.
- We host a private order page with parent / student order forms — sizes, quantities, payment by credit card or e-transfer to your school's account.
- The portal stays open for 1–2 weeks. Parents order at their own pace, no chasing.
- Portal closes, we batch-produce all garments in one production cycle (faster and cheaper per piece than one-off orders).
- Distribution at school — we deliver to the school office or athletic department for hand-out, or we ship individually to home addresses.
This is the path that scales without drowning council reps or athletic directors in email. Talk to us about setting one up for your school's fall or spring spirit-week.
Keeping spirit wear consistent year over year
Three things keep a school's apparel program looking professional decade after decade:
- Locked logo and thread / ink colours. A vector EPS or AI file of the school crest with exact Pantone or thread codes saved to our system. The 2030 hockey team's warm-ups match the 2026 grad class's hoodies.
- One vendor across departments. When athletics, PE, council, and grad all order through the same shop, the school's branding stays unified. Different shops use different mills, different ink mixes, and the school's "royal blue" drifts from year to year.
- A reorder catalogue. Your athletic department uniform reorders, the council's annual hoodie run, the faculty polo standard — all saved with style numbers, sizes, decoration placement, and pricing. Next year's order is a one-line email, not a quote rebuild.
FAQ — school spirit wear
What's the minimum order for a grad-class hoodie run?
Twelve pieces is the absolute floor. Practically, grad-class runs work best at 80–250 pieces — that lands you in the best volume-discount tier and amortizes the digitizing or DTF film setup cost across enough hoodies to keep the per-piece price reasonable. If your grad class has under 40 students, we can still produce, but the per-piece price will be higher.
Can you print every student's name on the back of grad hoodies?
Yes. Grad-roster prints are a DTF specialty for us. Each name is its own digital file printed in your school colour, applied in the same press cycle, and we lay out the back of every hoodie identically so the roster prints look like a single design across the whole grad class. Lock the roster early — once any name is in production it can't be swapped without reprinting.
Do you ship to schools outside Calgary?
Yes — we ship Canada-wide. The mockup approval, deposit, and production all happen remotely; we ship to the school address or the order coordinator's home. Most school orders inside Alberta land within 2 business days of shipping; the rest of Canada within 5 business days depending on carrier and remoteness.
What if our school colour isn't a standard garment colour?
Two options. Either we match the closest stock garment colour from major suppliers (Gildan, BELLA + CANVAS, ATC, KOI carry 40+ colour options each) and you approve the swatch before production. Or we dye-sublimate a fully custom-colour garment — slower turnaround and higher minimums (usually 50+ pieces) but exact-match school colour.
Can you do P.E. uniforms with student numbers and names?
Yes. P.E. departments often run a single uniform across all grades with the student's grade year and number on the back. We use DTF for the numbers and names so each student's uniform is unique. Mixed sizes welcome at MOQ 12.
How does the online school-store portal handle payment?
Parents pay by credit card or e-Transfer to your school's account at order time. We don't take payment from individual parents — the school collects, we invoice the school for the final production total once the portal closes. This keeps your bookkeeping clean and lets you build any spirit-wear margin you need for the PTA fundraiser.
Can alumni order single pieces of the school crest hoodie?
We can run on-demand single-piece embroidered alumni gear if the school's crest is on file from a previous production run. The per-piece cost is higher than a bulk order, but for alumni reunions or homecoming weekend orders this works. Otherwise alumni gear is best produced as part of a planned 12-piece run organized by the alumni committee.
Do you provide samples before a big order?
Yes — for athletic department uniform decisions and large grad runs we'll pull a single sample garment with the school's decoration so the AD or grad chair sees the actual decoration on the actual garment before committing to the full quantity. Sample cost is the per-piece blank + the decoration cost; we credit the sample cost against the full production run if you proceed.
What if a student's order needs to be re-printed (wrong name, wrong size)?
We re-print at cost (no markup) for genuine production errors on our side. For changes after the roster lock (a name spelling that wasn't on the approved roster), we re-print at the standard per-piece rate.
